The European Union Agency for Fundamental Rights (FRA) is organising a selection procedure in order to constitute a reserve list and recruit a Logistics Support Coordinator (FGIII) in the Administration Unit. Having regard to Article 38(2) of the Agency’s Financial Rules and to the authorised posts and full-time equivalents in the Agency’s budget, a contract for a limited duration of one year will be offered. Such contract may be renewed a maximum of once for a further fixed period.

Background 

The European Union Agency for Fundamental Rights (FRA) provides independent, evidence-based advice to policy-makers, to help ensure full respect for fundamental rights across the EU, for everyone. To this end, the Agency collects and analyses information and data on a range of fundamental rights issues, provides assistance and expertise to EU Institutions and to EU Member States’ governments, raises rights awareness, communicates its findings and strengthens cooperation and ties between fundamental rights actors. 

The Administration Unit

The Administration Unit is responsible for supporting the operational work of the Agency, enhancing its ability to function as a best practice, knowledge-based, lean and service-oriented public body. It provides core support services to the Agency, including in the areas of finance, human resources, IT and facilities. 

Duties

FRA is preparing to identify and move to new premises in Vienna. The successful candidate will support the Agency during this transitional phase and in providing support for the building management and facilities services in the future premises, as needed. 

Key tasks: 

  • Implement building facilities and logistical services, including spatial planning, inventory of assets and maintenance, while ensuring that the premises offers an attractive, equipped and effective working environment;
  • Act as the main point of contact for the landlord and relevant national authorities and, in conjunction with those partners, ensure the physical security of the premises, staff and visitors including fire safety, first aid and emergency support and by assuming the Local Security Officer role; 
  • Operate the facilities helpdesk, including handling, analysis and resolution of facility, logistics and infrastructure requests;
  • Develop and implement plans to report on and improve energy efficiency and climate neutrality and implement and maintain potential Eco-Management and Audit Scheme (EMAS) accreditation;
  • Provide hands-on logistics and infrastructure support, including the access control system and cards, removal of office furniture, quick repairs etc.;
  • Contribute to the drafting of the annual facilities work plan and facilities-related processes, and be responsible for their implementation;
  • Contribute to the business continuity plan and be available to provide standby service when requested. • Draft tender documentation linked to the procurement of facility management and supply contracts and supervise external contractors;
  • Perform financial transactions (commitments and payments), and prepare financial reports. 

Duties applicable to all staff:

  • Actively work towards the achievement of the goals of the FRA in accordance with the Strategic Plan; 
  • Perform any other work-related duties and responsibilities that may be assigned by the manager.
